Choir Policy, Terms & Conditions

Anam Choir & The Social Singers

By signing up to Anam Choir and/or The Social Singers you confirm that you understand, agree to and will adhere to the following policies, terms and conditions.

Unless stated, all points apply to both choirs.

Payment

  • Payment is by the term and is due before each term commences. Payment is made via online payment links. Alternative payment options are available if required.
  • Ample notice will be given for payment deadlines and term start and end dates. All payment deadlines are final and cannot be extended.
  • Missing payment deadlines, for full fees or initial installment payments, may result in your choir place being lost.
  • A limited number of installment plans are available and carry a 2.5% admin fee. Installment plans can be paid by online subscription payments or cash and are offered at the choir leader’s discretion.
  • Installment payments will renew/are due on the first of the month after initial sign up.
  • If a choir member on an installment plan leaves during the term and after the 14 day cooling off period (see below), they will still be liable for the remaining fee.

Cancellation

  • If you know in advance you will be missing several rehearsals, please let the choir leader know by email or WhatsApp a minimum of 24 hours before the first rehearsal you will be missing.
  • It is not necessary to notify the choir leader if you need to cancel for individual rehearsals.
  • All bookings are subject to a 14 day ‘cooling off’ period. If rehearsals have taken place during the 14 days, and members wish to cancel their place, they will be liable for these rehearsals and receive a partial refund.
  • If members cancel within 14 days of the date the contract was concluded and before any rehearsals have taken place, they will receive a full refund.
  • The Voice Studio Wexford must be informed of decisions to cancel by an unequivocal statement made via email before the 14 day cooling off period ends. 
  • If you are eligible for a refund (please see above) it will be made via the payment method used when booking.
  • Unfortunately, cancellations after the 14 day ‘cooling off’ period cannot be refunded and fees cannot be transferred to the next term or any term thereafter.
  • Choir members who wish to leave the choir at any stage can email Sinéad on thevoicestudiowexford@gmail.com to cancel their place.
  • If a choir member wishes to return after cancelling their place, rejoining the choir will be subject to passing the entry audition.

Cancellation by The Voice Studio Wexford

  • If the choir leader needs to cancel a session, a minimum of 24 hours notice will be given where possible and the session will be rescheduled.

Rehearsals

  • Rehearsals will take place in person at High Meadows Community Hub CLG in Wexford Town. 
  • Anam Choir rehearsals run for 2 hours. The Social Singers rehearsals run for 1.5 hours.
  • Rehearsal dates will be sent out via email ahead of the term start date. It is up to choir members to take note of rehearsal dates.
  • Extra time or rehearsals may be added in the lead up to performances if necessary.

    Attendance & Punctuality 
  • Good attendance and punctuality are very important for the efficient running of the choir. 
  • Anam Choir only – Choir members must aim to attend at least 75% of rehearsals per term to take part in performances, recordings and any other choir projects. Attendance will also be taken into account for solo and any small group auditions.
  • Anam Choir rehearsals begin at 7pm sharp, members can arrive from 6.45pm to ensure they are signed in and ready to start on time.
  • The Social Singers rehearsals begin at 7.30pm sharp, members can arrive from 7.15pm to ensure they are signed in and ready to start on time.
  • Late arrivals/early departures are distracting and should be avoided where possible. Anam Choir only – Consistent late arrivals/early departures may also affect your eligibility for solos, small group songs, performances, recordings and any other choir projects.
  • If a choir member arrives late, the rehearsal will continue as normal and it may not be possible to recap on anything that has been missed.
  • It is the responsibility of choir members to catch up on any missed material due to absence, late arrival or early departure in their own time if they would like to take part in performances.
  • Three or more absences in a row without notification may result in your choir place being lost.

Commitment

  • Being part of a choir is a great experience and it can lead to some amazing opportunities but it is also a big commitment and a team effort so time needs to be dedicated to rehearsals as well as practice during the week. 
  • Commitment also applies to performances.
    If choir members are signing up to perform they must be able to commit to the performance. Drop outs after a performance has been confirmed need to be avoided where possible except in cases of illness, accident, bereavement or if a choir member is dealing with a serious or stressful personal situation.

Practice

  • Practice is essential for the development and maintenance of any skill and singers at every level will benefit from a regular practice routine. Aim for a minimum of 3-4 practice sessions per week or try not to go more than two days in a row without a practice session.
  • Anam Choir only – Line tapes are sent out ahead of rehearsals and members will be assigned song sections to learn in their own time.
  • Practice may slip at times, this is OK and there is no need to feel guilty! Do your best to get back on track and please contact the choir leader if you need any help.

Important – Members are not expected to sing through illness, accident, bereavement or if they are dealing with a serious or stressful personal situation.

AuditionsAnam Choir Only

  • All audition requirements (solo, small group and recording) must be met for your audition to be considered.
  • Audition recordings must be sent to the choir leader by the deadline, otherwise your audition will not be considered.
  • All audition deadlines set out by the choir leader are final and will not be extended.
  • Reentry to the choir (if a member leaves or misses the payment deadline) will be subject to passing the entry audition.
  • All decisions regarding audition outcomes made by the choir leader are final.

Photos & Video Recordings

  • Recordings may be taken by the choir leader from time to time during rehearsals and performances to be shared across The Voice Studio Wexford, Anam Choir and The Social Singers social media accounts and/or website. 
  • Photos/Videos may also be taken and shared by audience members and people outside of the choir and studio at performances. 
  • By signing up for the choir you agree to have your image used in photos/videos and shared across socials and/or the website. 
  • If there are any issues with this you must contact the choir leader directly by email before the beginning of term to opt out.

    Audio Recordings Anam Choir Only
  • The choir may take part in audio recordings from time to time for other artists. These audio recordings will be shared across the artist’s or related project socials, studio and choir socials and website as well as on music streaming/purchase/download sites. 
  • By taking part in these projects you consent to your voice recordings being used for these purposes.
  • Participation in recordings is subject to audition, meeting the attendance requirement and knowledge of material – both the choir set and the project.

    Covid-19 & Other Respiratory Illnesses
  • If you will feel more comfortable, you are welcome to wear a mask or visor and to socially distance at rehearsals any time during the term.
  • The choir leader will ensure the room is properly ventilated by leaving an outside door open during rehearsal if necessary.
  • If you have any symptoms of Covid-19 or another respiratory illness, please do not attend rehearsal until you are testing negative for Covid-19 or until symptoms of other respiratory illnesses have eased.
  • If required, due to a significant rise in cases of Covid 19 or other respiratory illnesses, safety measures will be reinstated for the safe running of rehearsals or rehearsals may be cancelled.

Age Limit

  • Members must be 18 or over to join. 

Code of Conduct & Safeguarding

  • The choir is a safe and welcoming place for people to sing, express and enjoy themselves. 
  • All are welcome and it is expected that choir members will be kind and respectful toward each other and the choir leader, always, in and outside of rehearsals. 
  • Any instances of unkindness, disrespect or any type of inappropriate behaviour toward choir members or the choir leader witnessed or reported during or outside of rehearsals will be addressed promptly.
  • “Inappropriate behaviour” includes but is not limited to, any type of bullying or harassment, homophobia, transphobia, racism, sexism, misogyny, sexual inappropriateness, etc., that takes place in the WhatsApp Group, by direct message, call or email, anywhere online, in person, at rehearsals, outside of rehearsals or any other place or time. 
  • When witnessed/reported, the choir member(s) involved in the inappropriate behaviour will be asked to attend a one to one meeting with the choir leader to discuss it. Failure to attend this meeting will result in permanent removal from the choir.
  • Where relevant, resources will be provided to choir member(s) so they can educate themselves on certain issues to understand the effects of their behaviour. Choir members will be asked not to return to rehearsals until they have done so. After engaging with such material, the choir member(s) will be expected to make an effort to change their behaviour for the better going forward. Cooperation with this procedure is essential if the choir member(s) wish to remain in the choir. Failure to cooperate and/or any repeat offenses will result in instant and permanent removal from the choir to ensure that it remains a safe and welcoming space for all.
  • The choir has a zero tolerance policy for bullying. Any incidences of bullying toward other choir members or the choir leader will result in instant and permanent removal from the choir. 
  • If masks and social distancing are recommended or made mandatory for singing groups, or if the choir leader decides to reintroduce them for safeguarding purposes based on case numbers and choir members refuse to participate, this may also result in removal from the choir. This may be permanent or until these measures are no longer required and this will be at the discretion of the choir leader.
  • If you are experiencing or witnessing any of the above or any other kind of negative behaviour and you wish to report it, please be assured that it is safe to contact Sinéad via email, WhatsApp or to arrange a call via phone or Zoom.
  • If removed from the choir, offending members will not be refunded.

    Line Tapes & Recordings
  • Line tapes are guide tracks provided at the discretion of the choir leader for the purposes of home practice only.
  • Line tapes must not be duplicated by choir members, shared with anyone outside of the choir or used for any other purpose except for home practice. This includes sharing publicly in any sense, on social media, via email or message or listened to in public without the use of headphones.
  • From time to time, recordings may be taken by the choir leader in rehearsal for the purposes of tracking progress and aiding learning.
  • Recordings of rehearsals can only be taken by choir members with express permission from the choir leader.
  • The same policy applies to these rehearsal recordings as to line tapes.


WhatsApp Group

  • Once signed up, members will be added to the choir WhatsApp group.
  • The WhatsApp group is intended to allow choir members to chat, keep in touch over breaks and share details of their own creative projects etc. within the group.
  • Members are expected to adhere to the Safeguarding measures in the WhatsApp group.
  • Nothing from the WhatsApp group is to be shared outside of it without the consent of the choir leader and choir members. This includes but is not limited to forwarding videos/photos, messages, taking screenshots etc. and the sharing of photos or videos online without consent of the choir leader.
  • Joining the WhatsApp group does not give members permission to contact other members directly through WhatsApp, by text or phone without their consent.
  • Any breach of these Safeguarding measures will result in removal from the WhatsApp group and depending on the severity of the situation, may also result in removal from the choir.
  • If removed from the choir, offending members will not be refunded.

Discounts

  • If choir members wish to take 1 to 1 lessons they will receive a 10% discount on the full price of a single lesson.
  • Children/dependents of choir members up to the age of 16 can avail of the choir lesson discount if both fees and lessons are being paid for by the same household.
  • Other group classes will carry a 20% discount for choir members.
  • If members leave the choir and they/their child/dependent continue with 1 to 1 lessons or another group class, the discount will no longer apply and lessons/classes will be charged at full price.
  • Lessons and group classes are subject to availability and must be taken by the choir member or child/dependent of the choir member only. Unfortunately, the discount cannot be used for other family or friends.

Privacy & Data Protection

  • The Voice Studio Wexford may contact you via the email provided when booking or inquiring with news and updates related to the studio and choir. You can opt-out of all emails at any time by notifying Sinéad on thevoicestudiowexford@gmail.com.
  • We respect your privacy and your contact information is kept confidential. The Voice Studio Wexford does not share or sell contact or personal information with third parties or other companies.
  • Any information supplied by choir members during booking or during their time in the choir is kept confidential and not shared with third parties or other companies. This includes information regarding specific learning requirements, personal, medical or contact information and any other information the studio may require.
  • Anam Choir and the Social Singers are part of The Voice Studio Wexford.

Updates to the Choir Policy, Terms And Conditions

The Choir Policy, Terms and Conditions are subject to change and may be updated at any time. The author will endeavour to give advance notice of any changes but this may not always be possible.
